All Eaglewings employees assigned to Baltimore City Public Schools must review and acknowledge the current year's policy document before beginning any assignment.
Hub clock-in records are an internal verification tool. BCPS requires a paper timesheet signed by an authorized on-site signer to pay the invoice. Without the signed timesheet, the client will not pay — and Eaglewings cannot pay you for unbillable hours.
Workflow: Complete the paper timesheet with signatures at school → photograph it → upload the photo to the Eaglewings Hub with your Hub timesheet each week.
Only the authorized signer designated by BCPS — the classroom teacher AND a designated front-office signer. If your regular signer is absent, ask another BCPS employee to sign AND write their BCPS email address on the timesheet — a new signer triggers a payroll verification email. Get every signature on the day of the shift.
Holiday weeks may have an earlier cutoff — watch for the Eaglewings broadcast text.
No white-out. White-out on a timesheet is a fraud-prevention violation and will cause it to be rejected. Use ink only (pencil timesheets are returned).
Correct mistakes by drawing a single line through the error, writing the correct entry beside it, and having the authorized signer initial the correction. Do not pre-fill your timesheet — record your actual arrival and dismissal times. Always indicate whether a break was taken; a blank break field means payroll auto-deducts 30 minutes.
If you forget to clock in or out on the Hub, text HR the same day with your name, school/site, and exact arrival or departure time. A missed punch requires a manual correction inside the Hub, supported by the school's logbook entry. Do not adjust your own time entries — HR handles that.
Call out by TEXT to the staffing line before 8:00 PM the night before your scheduled shift whenever possible. You must also notify the classroom teacher directly — not just Eaglewings.
Absences reported after 8:00 PM are treated as same-day cancellations and may require a doctor's note. Repeated last-minute or no-show call-outs lead to progressive discipline.
Doctor and dental appointments should be scheduled after 3:30 PM or on days school is closed whenever possible. Use BCPS closed days (holidays, snow days, virtual days, breaks) to plan personal errands, appointments, and travel.
Check with the IEP Chair or Social Worker at your school for a same-day reassignment. Text Eaglewings immediately with your student's name and whether the school offered another student.
2-Hour Rule: If no reassignment is available, remain inside the building for 2 hours, then leave. Get 2 hours signed on your timesheet before leaving. If Eaglewings offers you a reassignment at a different school and you decline, you will be paid 2 hours only.
Personal phones are not permitted during direct student contact. Phones must be silenced and stored away during shift hours.
FERPA Violation Warning: Posting photos or video of students or classrooms on social media is a FERPA violation and grounds for immediate termination.
All parent and family communication must go through the school — never directly from an Eaglewings employee.
This policy protects you, the student, and Eaglewings under FERPA and BCPS confidentiality requirements.
Every Eaglewings employee in a school setting is a mandated reporter under Maryland law. If you suspect child abuse or neglect, you must report — both to the school administration AND directly to Maryland Child Protective Services.
Mandated reporting is personal: it is your legal duty, not just the school's. Report to both.

Contact Eaglewings HR for current workers' compensation carrier and policy information to provide to the urgent care facility.
Important: Failure to report a workplace injury the same day can result in denial of your workers' compensation claim.
Do NOT use physical intervention under any circumstance. Verbal de-escalation, distance, and calling for school support are your only authorized responses.
Physical intervention is ALWAYS a last resort, ONLY when imminent danger to self or others exists, AND only using CPI-taught techniques — never improvised.
After any incident, complete the school's incident report AND notify Eaglewings the same day.
Your BCPS badge must be visible at all times while on school property.
A replacement BCPS badge costs $15 (employee pays — not reimbursed).
